Timebank South West is a registered charity and has been operating in Plymouth since 2011. It has eight Timebanking Hubs based in Barne Barton, Devonport, Efford, Ernesettle, Honicknowle, North Prospect, Stonehouse, and Whitleigh. It aims to reduce social isolation and loneliness by bringing people and communities together and supporting informal volunteering to increase individuals’ sense of wellbeing. TBSW will be expanding over the next two and half years by increasing our number of timebanks and managing a new project specifically for older persons.

Key duties and responsibilities

• Provide face to face, phone and email responses to people and organisations requesting information about Timebank South West (TBSW), timebanking, membership, projects and referral processes.
• Ensure membership joining packs, questionnaires, surveys, and any relevant information are printed and readily available to the TBSW team.
• Ensure all new member contact details, exchange preferences and joining hours are added to Timeonline2 and carry out an annual membership audit.
• Send a welcoming email, social’s timetable and timebank booklet to new members as they join.
• Ensure TBSW maintains a consistently high standard of plain language materials, using font 12pt as minimum and correct use of logo/s, to improve marketing and branding recognition.
• Ensure all information and records are accurate and kept up to date and adhere to General Data Protection Regulation.
• Assist the outreach team by proofreading and formatting monthly case studies and add to OneDrive.
• Design templates, display materials, flyers, leaflets, and posters as requested by the outreach team.
• Communicate regularly with timebank members and support the outreach team by making skill exchange arrangements over the telephone and email.
• Work closely with the outreach team and visit neighbourhood TBs with them from time to time.
• Assist with TBSW’s referral process and help maintain a referral database.
• Increase regular TBSW’s output on social media including Facebook, Twitter, and YouTube to ensure the organisation has a presence and increases its number of followers.
• Use social media to promote activities, exchange opportunities, events, socials, and positive exchange stories.
• Assist the director to collect Timebanking data for KPI quarterly reports by maintaining up to date accurate records.
• Maintain a clear functional office filing system and keep OneDrive files up to date.

Person Specification 

A minimum of 1 year’s previous experience in a communication and administrative role.
• Good spoken and written English to at least Level 2 Functional Skills/GCSE.
• Good working knowledge of Microsoft Word, Email, Publisher, Excel, OneDrive, Zoom and other
communication tools.
• Good working knowledge of social media including Facebook, Twitter, Instagram, TikTok, and YouTube.
• Experience of designing templates, flyers, leaflets, and other marketing materials.
• Ability to produce and maintain accurate records.
• Ability to plan-ahead, organise and prioritise competing workloads to meet deadlines.
• Ability to communicate in a polite, friendly, and helpful manner in person, telephone, and email.
• Experience of arranging and/or assisting with community events.

Knowledge and understanding

  • Good understanding of the challenges facing communities.
